Where we get information from
We may receive information directly from you. For business-development research, we may also obtain limited professional information from publicly accessible sources, including your employer’s website, public professional pages such as LinkedIn, Companies House, public job advertisements, press releases, company announcements, reputable business news sources and public business directories.
Where practicable, we record the source used for prospect research so that we can explain where information came from.
Why we use personal information and our lawful bases
B2B business development and direct marketing
We use limited professional information to identify organisations that may have a genuine business need for MeetingMine’s services and to contact relevant people in their professional capacity.
Where UK data protection law applies, we generally rely on our legitimate interests in developing our business and communicating relevant B2B services to corporate organisations. We assess whether the use is necessary and balance our interests against the individual’s rights and reasonable expectations.
We do not rely on legitimate interests to override electronic-marketing rules where consent is legally required. In particular, we do not intentionally cold-email sole traders or other individual subscribers unless an appropriate legal route applies.
Enquiries and client services
We may use information where necessary to take steps at your request before entering into a contract, to perform a contract, or for our legitimate interests in managing client relationships and delivering services.
Administration, security and legal obligations
We may use information to keep records, protect our systems, prevent misuse, manage disputes, comply with tax and accounting requirements, or meet other legal obligations.
Direct marketing and your right to object
Reply to any marketing email or contact wajahat@meetingmine.com. Once you object, we will stop using your personal information for direct marketing.
We may keep a small suppression record, such as your email address and the date of your objection, so we can make sure we do not accidentally contact you again for direct marketing.
Who we may share information with
- website, email, hosting and IT service providers acting on our behalf;
- professional advisers such as accountants or legal advisers where necessary;
- clients or prospective clients where this is necessary to provide an agreed service and is lawful; and
- regulators, courts, law-enforcement bodies or other authorities where disclosure is required by law.
We do not sell personal information to data brokers or advertisers.
Where MeetingMine carries out work for a client involving personal information, the data-protection roles of MeetingMine and the client depend on the particular service and are addressed in the relevant client agreement.
International transfers
Some technology providers may process information outside the United Kingdom. Where a transfer requires safeguards under UK data protection law, we use an appropriate lawful transfer mechanism or rely on an applicable adequacy regulation. Contact us if you want more information about safeguards relevant to your information.
How long we keep information
- Prospect research and outreach records: normally reviewed within 12 months of the last meaningful interaction and deleted or anonymised when no longer needed.
- Suppression records: minimum information may be retained for as long as necessary to respect an objection or opt-out.
- Client, contract and financial records: some records may be kept for up to six years where reasonably required for accounting, tax, contractual or legal purposes.
- Technical and security logs: retention depends on the service provider and what is reasonably necessary for security and service delivery.
Website cookies and tracking
MeetingMine does not currently add analytics or advertising cookies to this website and does not currently use email-open tracking pixels for outbound campaigns.
Our hosting or email providers may process technical data needed to deliver, secure and operate their services.
AI and automated processing
MeetingMine may use software tools, including AI-assisted tools, to help with tasks such as business research, organising information or drafting communications.
We do not use solely automated decision-making that produces legal effects or similarly significant effects on individuals. Human review is used for our outbound research and communications.
